About the Role
We are seeking a highly organised and proactive Service Coordinator to support the effective delivery and continuous improvement of a Virtual Learning Environment (VLE) within a large, complex organisation. This role will provide high-quality administrative, operational, and communications support, working closely with project teams, stakeholders, and governance groups to ensure smooth coordination and delivery of key activities.
Key Responsibilities
- Develop and maintain project documentation, including RAID logs, action logs, decision logs, and project plans
- Track progress against actions and follow up with stakeholders to ensure timely updates
- Collate and consolidate project status reports in collaboration with colleagues
- Support delivery of project outputs, including planning, process reviews, reporting, and presentations
- Assist with the organisation and facilitation of workshops, capturing outputs and actions
- Create and manage internal communications content, ensuring accuracy and quality across channels
- Coordinate implementation of communications across cross-functional groups, including approvals and sign-off processes
- Support development and maintenance of internal web content and portals
- Establish and maintain document management processes
- Provide secretariat support for governance forums, including meeting coordination, preparation of papers, and minute-taking
- Deliver general administrative support such as procurement processes, requisitions, and scheduling meetings
- Ensure compliance with organisational policies including data protection, confidentiality, equality and diversity, and health & safety
Essential Skills & Experience
- Experience supporting projects, including use of documentation such as RAID logs and status reporting
- Strong organisational skills with the ability to manage multiple workstreams and priorities
- Excellent written and verbal communication skills, with experience engaging a wide range of stakeholders
- Ability to analyse and compile information from multiple sources into clear outputs
- Experience providing secretariat support to governance or senior-level meetings
- Proficiency in Microsoft Office tools, including Word, Excel, PowerPoint, and collaboration platforms
- Ability to build effective working relationships and work independently
Desirable Skills & Experience
- Experience working with Virtual Learning Environments (e.g. Canvas)
- Background in learning technology or digital education
- Experience within higher education or similarly complex environments
- Familiarity with tools such as SharePoint, Teams, Visio, or Microsoft Project
- Experience managing website or intranet content
- Interest in continuous improvement and new ways of working
